What can be posted on Museum Vendors, how listings are reviewed, and how to report a problem.

What this covers

This policy covers everything posted on the site: RFPs and RFQs, vendor profiles, gallery images, attachments, and messages. It works together with the Terms of use.

What belongs here

RFPs and RFQs from museums, in one of five categories: exhibit fabrication, design, AV, conservation, or consulting. Every listing needs a title, institution, location, type (RFP or RFQ), category, deadline, scope, and how to respond. Give a budget range, or leave it blank and the listing shows Not listed.

Responses are submitted through the site. A listing may not ask for responses by email only.

Review before publication

A person reviews every listing before it is published. There are three outcomes: published, changes requested, or declined. For the last two we give a reason. Each decision is logged.

Review checks that a listing is complete, clear, and within this policy. It does not check that every statement is true.

What is not allowed

  • False or misleading listings or profiles.
  • Listings written to steer work to a vendor already chosen.
  • Criteria that discriminate against people on a basis protected by law.
  • Anything illegal, or that promotes bid-rigging or fraud.
  • Personal information about other people that they haven't agreed to share.
  • Spam, advertising, or solicitation that isn't a real project or a real service.
  • Files that contain malware, or material you don't have the right to share.
  • Claims of endorsement, partnership, or membership that aren't true.

Images and rights

Post only real, documentary images you have permission to use: sites, installations, bench work, fabrication, plans, and drawings. Every image needs meaningful alt text and a visible credit line, and you confirm your right to publish it when you upload it.

  • Images on RFP pages come from the museum and only with confirmed rights.
  • No collection art without clearance, and no generated images presented as real projects.
  • No photographs of identifiable people without their agreement.
  • No logos of associations or other organizations you don't represent.
  • Free vendor profiles can show up to 3 gallery images. Plus and Featured profiles, if they open, up to 12.

Vendor claims

Profile details are written by the vendor and are self-reported. We label them that way unless we verified a specific item, and then we say what we checked. There are no star ratings.

  • Credentials, memberships, and certifications must be current and yours.
  • Project examples must be real, and you must have permission to show the museum name, budget range, and images.
  • Don't claim that a museum endorses or recommends you unless it has said so.

Report a problem or request a takedown

Anyone can ask us to review or remove content, whether or not they have an account. Start by emailing [email protected].

What to send

  • A link to the page, and what exactly should come down (a title, an image, or a passage).
  • Why: rights, false or misleading, personal information, safety, or something else.
  • Your name and how to reach you.
  • For a rights claim: how you own the work or are authorized to act for the owner, and a statement that you believe in good faith the use isn't authorized.

What happens next

  • Within 2 business days we confirm we received it. Put “Urgent” in the subject for a safety concern and we look at it first.
  • For rights, personal information, or safety reports, we may hide the content while we review it.
  • Within 10 business days we decide, and tell you and the person who posted it what we decided and why.
  • The person who posted it can reply with an explanation and ask us to look again.
  • Serious or repeated violations lead to a suspended or closed account.

If you posted something and want it removed, email [email protected] and we will take it down promptly.
